Deposit & payment
- A 10% – 30% deposit is required to secure a booking. The deposit forms part of the trip payment and is offset against the total amount charged.
- If the balance is not paid at least 30 days before departure, we reserve the right to treat the booking as cancelled and the deposit is forfeited.
- Clients booking within 30 days of departure must pay the full amount immediately to secure the reservation.
- Payment can be made by bank transfer, by card through our secure online payment page, or in cash on arrival (USD). Please note that US dollar notes printed before 2009 are not accepted anywhere in Tanzania. Transfer details are emailed on request.
- All bank charges are settled by the client. Wire transfer fees typically range from $35 – $50 and are not dependent on the amount sent. The amount shown on your invoice is the amount that must reflect in our account; if bank charges are deducted we will invoice the difference.
Online payment
- Card payments made through our online payment system carry a 3.5% surcharge.
- Card payments made on our POS machine carry a 2.9% surcharge.
The booking
Bookings and the resulting contracts are deemed to have been concluded in Moshi, Tanzania and are interpreted according to the laws of the United Republic of Tanzania. The company reserves the right to decline any booking without stating reasons.
All travellers receive pre-trip information, a complete itinerary and on-demand pre-travel advice by email or directly from our office for last-minute or personal queries.
Should a particular accommodation be unavailable at the time of booking, accommodation of a similar or higher standard will be substituted.
Booking amendments
For amendments to an existing booking made by the client or agent (departure dates, air tickets, accommodation, number of participants, etc.) a handling fee of USD 80 per booking applies, in addition to any service provider fees.
Cancellations & refunds
Cancellations must be sent to us in writing. Once we receive written notice, the following refund schedule applies to the total booking cost:

Note: bank and online transfer charges are deducted from refunds made through the same systems.
The company reserves the right to cancel any tour at its sole discretion where this is unavoidable. We will gladly offer an alternative trip of a similar standard. If the alternative does not suit your interests or schedule, we will refund all monies already paid to us. Any other expenses you incur as a result of the booking remain your responsibility, and this refund is the company's sole liability in such a case.
Passports, visas and travel documents
It is the client's sole responsibility to ensure that passports, visas, health certificates, proof of vaccinations and any other required documentation are in order for the countries visited. The company cannot be held responsible for any consequences, damages or claims arising from incorrect or incomplete documentation.
Complaints
We do our utmost to ensure your arrangements go as planned. If anything falls short of what we agreed to provide, please tell us at the earliest opportunity so we can put it right.
Things to consider
- On the mountain, tents can be damaged by strong wind or rock fall despite our best preparation.
- Weather on Kilimanjaro can delay the arrival of crew, bags, food, tents or the setting up of camp.
- On safari, a vehicle may break down depending on location and conditions. We will send a replacement vehicle where possible, but this is not guaranteed and no refund is made for such an occurrence. You may wait for the vehicle to be fixed or replaced, or take the drive the following day if time does not allow.
Baggage
All baggage and personal effects remain the client's responsibility at all times and the company accepts no liability for loss or damage, however arising. Clients are entitled to one bag of no more than 15 kg (backpack or soft bag — no hardtop suitcase) plus a daypack. The company reserves the right to refuse excess baggage. Other baggage regulations may apply on trekking tours and some bush flights.
Risk & liability
The client accepts that all tours are adventurous in nature and involve an element of personal risk. Neither the company nor any of its agents can be held responsible for any injury, loss of life or damage to property, however caused. The client indemnifies the company, its agents and servants against any such claim and accepts full responsibility for the risks involved. Comprehensive travel and medical insurance, including emergency evacuation, is required for all trips.
Authority on tour
The decisions of the company's guide or driver on tour are final and binding. Clients must comply with the laws, customs and foreign exchange regulations of all countries visited. If a client commits an unlawful act they may be required to leave the tour, and no refund will be made in such a case.
Marketing
The company reserves the right to use photographs and videos taken during tours for marketing or other advertising material. By booking, the client consents to such use and authorises the company to retain copyright in that material. Let us know in writing if you would prefer to opt out.
Force majeure
Unforeseen circumstances including but not limited to war, mechanical breakdown, weather, riots and other events beyond our control may cause delays or alterations to a tour. The company is not responsible for such occurrences or any consequences arising from them.
Tanzania Travelers acts as an agent for the client in all matters relating to the tour and accepts no responsibility for personal illness, injury, accident, death, delay, loss, damage or irregularity caused by any act or omission beyond its control, including negligence or breach of contract by a third party such as a hotel or airline supplying goods or services.
Price changes
Our prices are based on current national park fees and taxes. Should the authorities increase fees or taxes, even where not currently scheduled, we may have to pass those increases on. We reserve the right to revise the rates published on this website in response to external factors beyond our control, such as exchange rate movements or government fee changes, while making every effort to hold the advertised rate.
